Governed AI execution checklist for operations leaders
A useful AI rollout needs more than a model, a prompt, and an integration. Operations leaders need a clear boundary for what the system may propose, what it may execute, what evidence it must collect, and where a person must decide.
Define authority before capability
Start by naming the operational objective and the actions the system is allowed to take. Drafting, classifying, routing, updating a record, and sending a customer-facing message carry different levels of consequence.
For every action, record whether AI may only propose it, whether deterministic rules may validate it, and who must approve it. Ambiguous authority becomes hidden automation risk later.

Require evidence for state and completion
Each operational state needs a verifiable basis. READY should mean the required conditions are satisfied; BLOCKED should name the missing evidence or policy conflict; WAITING should identify the person or system expected to respond.
Define completion with an observable record such as an approved document, accepted delivery, reconciled transaction, or acknowledged customer response. Model confidence is not completion evidence.
Design for exceptions, audit, and recovery
The rollout should explain what happens when an integration is unavailable, evidence conflicts, an approval expires, or a human rejects the proposed action. Silent retries and invisible fallbacks make review difficult.
Log the input reference, proposal, validation result, approval, execution response, and final state without copying unnecessary sensitive content. Provide a tested way to pause the workflow and recover from an incorrect action.
